Project Management

We need to reshuffle our personal project management discipline. This is something we don’t have in our team – especially when people are working from home. This is a quick post – top of mind. Things we need in personal project management are:

  • EOD reporting – Every end of the day, especially when it’s work from home, you have to report in the Trello board for what you did for the day.
  • Daily Check-in – Post the top 3 things you are going to do for the day. If there is a time you will not be available to contact, post it as well.
  • Ball Passing  – Every time you pass the ball to someone in a project, make sure to follow-up on that person on the date and time that he will pass the ball back to you.
  • Task assignment – Word of mouth gets easily forgotten. Make sure to put the tasks in the project management board and assign the right person and a reasonable deadline.
  • Out of deadline tasks – There should be a warning 1 and warning 2 for OOD tasks. Both warnings will give the deadline another 3 days max. This has to have a monetary penalty if it exceeds the 2nd warning.
  • Overflow – Too much projects / tasks assigned to 1 person should report an overflow of tasks. Some projects / tasks should be reassigned to another player or be given an extended deadline.
  • SOS – These are tasks or projects wherein you need the help of an experienced or skilled team member to help you or assist you. You recognize that you are not entirely capable of the task but you want to grow in that area that is why you’ve accepted responsibility.
  • Flagging – Tasks that are left forgotten or are not put in progress while the deadline is approaching should be flagged by a team member. This should signal to the task owner that he has forgotten or has neglected a task that he/she shouldn’t have.
  • Justifications – Tasks that have proven themselves to have been given an unreasonable deadline can and should be justified to the team leader. This should result in an adjusted task load or deadline or SOS.

All these things can be applied in the Trello Board.

Board Manager – Someone who checks the board to clean the board regularly or to flag a task or to adjust based on justifications. There has to be a board manager per board to keep things clean and comprehensive.

Team Leader – Someone who is able to work with the board manager to adjust based on justifications.

Penalty – An agreed upon monetary amount based on out of deadline tasks that cannot be justified comprehensively.

Let’s leave things at this first but this is a framework that I’m trying to improve and/or fix. I’ll be presenting this to the board for implementation in my team. Let’s see how it goes from there.
